Writing Useful Short Messages | 写实用短信息

Write for the reader. Make the reason, key information and next action easy to find.
写给读者看。让“为什么发、关键信息、下一步做什么”一眼就能找到。

A useful short message is not a mini essay. It is a small communication tool. The reader should understand the purpose quickly and know whether they need to reply, act, wait, confirm or simply read.

实用短信息不是迷你作文。它是一个小型沟通工具。读者应该很快知道你为什么发、发生了什么、他们要不要回复或行动。

This lesson builds a writing frame: greeting → reason → key detail → action/request → closing.

1. Start with purpose | 先确定为什么写

Before typing, finish this sentence:

I am writing because ______.

Common purposes:

  • inform
  • ask
  • confirm
  • change
  • apologise
  • remind
  • report a problem

2. Know the reader | 先想读者是谁

  • friend
  • teacher
  • manager
  • shop
  • clinic
  • unknown service staff

Audience affects tone and how much context is needed.

3. Greeting | 开头

  • Hi Anna,
  • Hello Mei,
  • Dear Ms Lee,

For very short chat messages, a greeting may be omitted if the conversation is already active.

4. Main point early | 重点尽早出现

Weak:

Hi, I hope you’re well. I was just thinking about tomorrow and there is something I wanted to tell you…

Better:

Hi Anna, I’ll be about 10 minutes late tomorrow.

5. One message, one main job | 一条信息一个主要任务

If possible, avoid mixing five unrelated requests in one short message.

6. Informing | 通知

  • The meeting is now at 4 PM.
  • Class is cancelled today.
  • I arrived safely.

7. Asking | 请求

  • Can you send the file again?
  • Could you confirm the time?
  • Please call me when you are free.

8. Confirming | 确认

  • Friday at 3 PM works for me.
  • I confirm that I can attend.
  • Got it, thank you.

9. Changing | 变更

  • Can we move the meeting to 4 PM?
  • The room has changed to B12.
  • Let’s meet at Green Café instead.

10. Apologising | 道歉

  • Sorry I’m late.
  • Sorry, I sent the wrong file.
  • I’m sorry I can’t come today.

A short apology is often enough. Do not bury the practical next step.

11. Reminding | 提醒

  • Just a reminder that the form is due Friday.
  • Don’t forget our 3 PM meeting.

12. Reporting a problem | 报告问题

  • The attachment is missing.
  • The link isn’t working.
  • I received the wrong item.

13. Time | 时间

Write time clearly:

  • 3 PM
  • 3:30 PM
  • 15:30

Use one consistent format.

14. Date | 日期

  • Friday 18 September
  • 18 September

Spelling out the month can reduce date-format ambiguity.

15. Place | 地点

  • Room 5
  • Central Station Exit B
  • Green Café

Be specific enough for the reader to act.

16. Link | 链接

  • Here is the meeting link.
  • Please use this link to join.

Do not send suspicious or private links to the wrong audience.

17. Attachment | 附件

  • I’ve attached the file.
  • Please see the attached form.

Before sending, check that the attachment is actually attached.

18. Deadline | 截止时间

  • Please reply by 5 PM.
  • Please send this by Friday.
  • I need the form before noon.

19. Ask for one clear action | 一个清晰动作

Weak: Please let me know.

Clearer: Please confirm whether you can attend by 5 PM.

20. Confirmation request | 请求确认

  • Please confirm you received this.
  • Can you confirm the time?
  • Please let me know if this works for you.

21. Late-arrival message | 迟到信息

Hi Anna, I’m running about 10 minutes late because the train is delayed. Please start without me. Sorry!

Includes: delay length, reason, requested action, apology.

22. Meeting-change message | 改会议时间

Hi team, today’s meeting has moved from 2 PM to 4 PM. Same room: 5A. Please confirm you saw this.

Includes old time, new time, unchanged place, confirmation action.

23. School message | 学校信息

Hello Ms Lee, I don’t understand Question 4 in today’s homework. Could you explain what I need to do? Thank you.

24. Work request | 工作请求

Hi David, could you send the latest file before 3 PM today? I need it for the client meeting. Thanks.

Action and deadline are visible.

25. Missing attachment | 缺附件

Hi Anna, thanks for your email. I can’t see the attachment. Could you send the file again, please?

26. Wrong-link message | 链接错误

The link in your message isn’t working for me. Could you send a new link?

27. Appointment confirmation | 预约确认

Thank you. I confirm my appointment for Tuesday at 10:30 AM.

28. Appointment change | 改预约

Hello, I need to change my appointment on Tuesday at 10:30 AM. Is Wednesday morning available instead?

29. Invitation | 邀请

Hi Mei, are you free for lunch on Saturday? How about 12:30 at Green Café?

30. Accepting | 接受

Yes, that sounds good. Saturday at 12:30 works for me. See you there.

31. Refusing | 拒绝

Thanks for asking. Sorry, I can’t on Saturday. Maybe another time.

No long personal explanation is necessary.

32. Problem report | 问题报告

Hello, I ordered two blue shirts, but I received one black shirt. Could you check my order and let me know the next step?

Facts + request.

33. Follow-up | 跟进

Hello, I’m following up on my message from Monday about order 12345. Could you let me know if there is an update?

Use fictional reference numbers in practice.

34. Thank-you message | 感谢

  • Thanks for your help.
  • Thank you for sending the file.
  • Thanks for letting me know.

35. Tone: direct but polite | 直接但礼貌

Clear does not mean rude.

  • Please send the file by 3 PM.
  • Could you send the file by 3 PM?

Choose the tone appropriate to relationship and urgency.

36. Avoid over-apologising | 不要过度道歉

One sincere apology is often enough:

Sorry for the delay. I’ve attached the correct file now.

37. Avoid hidden requests | 不要把请求藏起来

Weak:

I was wondering if perhaps maybe you had a moment to look at this…

Beginner-clear:

Could you check this, please?

38. Avoid vague time | 不要模糊时间

  • later → vague
  • by 5 PM today → clear
  • next week → broad
  • Tuesday morning → clearer

39. Avoid vague place | 不要模糊地点

Meet me there only works if “there” is already obvious.

Better: Meet me at Central Station Exit B.

40. Avoid vague pronouns | 代词要清楚

If there are several files, do not write only Send it again. Name the file.

41. Sentence length | 句子长度

Short messages benefit from short sentences. One sentence can carry one key idea.

42. Paragraph breaks | 分段

For a slightly longer email:

  1. purpose
  2. detail
  3. request
  4. closing

43. Subject lines | 邮件主题

Good subject lines:

  • Meeting Time Change
  • Friday Assignment Question
  • Missing Attachment
  • Appointment Confirmation

A useful subject tells the reader what the email is about.

44. Capital letters | 大写

Do not write whole messages in ALL CAPS unless there is a specific reason. It can be harder to read and may feel like shouting.

45. Punctuation | 标点

Basic punctuation is enough:

  • full stop .
  • comma ,
  • question mark ?

Correct punctuation improves readability.

46. Emoji | 表情符号

Emoji can add tone in informal messages but should not carry important instructions alone.

47. Privacy check | 隐私检查

Before sending, ask:

  • Am I sending to the right person?
  • Does this contain private data?
  • Is the attachment appropriate?
  • Did I accidentally include someone else’s information?

48. Group message privacy | 群消息隐私

Do not post phone numbers, addresses, medical information or account details in a group unless genuinely necessary and appropriate.

49. Mandarin transfer: 麻烦你… | Could you…?

  • 麻烦你再发一次。 → Could you send it again?
  • 麻烦你确认时间。 → Could you confirm the time?

50. Mandarin transfer: 我晚一点到 | I’m running late

  • 我会晚十分钟。 → I’ll be about ten minutes late.

51. Mandarin transfer: 收到 | Got it / Received

  • 收到,谢谢。 → Got it, thanks.
  • 我收到了文件。 → I received the file.

Choose informal or formal wording by context.

52. Mandarin transfer: 改成 | move/change/instead

  • 改成四点。 → Move it to 4 PM. / It has moved to 4 PM.
  • 改去另一家咖啡店。 → Let’s go to another café instead.

53. Five-second planning test | 写前五秒检查

Before writing, answer:

  1. Why am I writing?
  2. What does the reader need to know?
  3. What do I want the reader to do?

54. Five-second final check | 发送前五秒检查

  1. right person?
  2. right time/date?
  3. clear action?
  4. attachment included?
  5. private information safe?

55. Writing practice A: late message | 写作 A

Write a message saying:

  • you are 15 minutes late
  • bus delay
  • ask them to start first
  • apologise once

56. Writing practice B: changed meeting | 写作 B

Write:

  • old time 2 PM
  • new time 4 PM
  • same room
  • ask for confirmation

57. Writing practice C: missing file | 写作 C

Write:

  • thank sender
  • state file missing
  • ask resend

58. Editing practice: remove unnecessary words | 删冗词

Original:

Hi Anna, I just wanted to send you a message because I wanted to let you know that I think I might be around ten minutes late for the meeting today.

Better:

Hi Anna, I’ll be about 10 minutes late for today’s meeting.

59. Editing practice: add missing action | 加动作

Weak:

The time changed to 4 PM.

Better when action matters:

The time changed to 4 PM. Please confirm you can attend.

  • I know grammar but message feels confusing → purpose/order.
  • I state background but hide request → action visibility.
  • I omit time/place → missing operational detail.
  • I write too much → concision.
  • I sound too direct → polite request frame.
  • I sound vague → specific noun/time/action.
  • I send wrong attachment/details → final check.

66. For parents and teachers | 给家长和老师

Teach usefulness before style. Ask whether the reader can identify the purpose, action and deadline in five seconds.

Use editing tasks. Shortening a bad message is often more educational than writing from a blank page.

For Mandarin speakers, contrast direct translation with natural English request frames such as Could you…? and operational time phrases such as by 5 PM.

Use fictional names, emails and order numbers. Writing practice should not expose private information.
