Reading Short Messages and Emails | 阅读短信息与邮件

Who sent this? Why did they write? What do I need to do? By when?
谁发的?为什么发?我要做什么?什么时候之前完成?

Short digital texts can still be difficult because important information is compressed into a few lines. A message may contain greeting, context, request, deadline, change, attachment and confirmation in under fifty words.

短信息看起来不长,但里面常常同时有问候、背景、请求、截止时间、变更、附件和确认动作。真正目标不是逐字翻译,而是快速找到任务。

This lesson builds a reading sequence: sender/context → purpose → action → time/place → change → confirmation.

1. Start with the sender | 先看谁发的

Knowing the sender changes how you interpret the message.

  • teacher
  • manager
  • friend
  • shop
  • clinic
  • unknown sender

Context helps you predict the purpose.

2. Who is the recipient? | 发给谁?

An email may be for:

  • you only
  • a group
  • a class
  • a whole team

Do not assume every message requires your personal action.

3. Subject line | 邮件主题

  • Meeting Change
  • Homework Due Friday
  • Appointment Confirmation
  • Order Update

The subject often tells you the message category before you read the body.

4. Greeting | 开头问候

  • Hi Mei,
  • Hello everyone,
  • Dear Mr Tan,

Do not spend too much reading effort on the greeting unless identity matters.

5. First sentence often gives purpose | 第一两句常给目的

Examples:

  • I’m writing to confirm your appointment.
  • Just a quick reminder about tomorrow’s class.
  • The meeting time has changed.

6. Ask: information or action? | 是通知还是要你做事?

Compare:

  • Information: The office is closed today.
  • Action: Please submit the form by Friday.

One tells you something. The other requires action.

7. Main request | 核心请求

Look for verbs:

  • send
  • reply
  • confirm
  • submit
  • bring
  • call
  • check
  • complete

8. “Please” can mark action | Please 常提示动作

  • Please reply by 5 PM.
  • Please bring your ID.
  • Please check the attached file.

9. Polite request without “please” | 没有 please 也可能是请求

  • Could you send the file again?
  • Can you confirm the time?
  • Would you mind checking this? — recognition

Politeness can hide the action inside a question form.

10. Deadline | 截止时间

  • by Friday
  • before 5 PM
  • no later than Monday — recognition

by Friday means Friday is the latest allowed day, unless context says otherwise.

11. Date | 日期

  • 12 September
  • September 12
  • 12/09/2026

Check local format when numbers could be ambiguous.

12. Time | 时间

  • 3 PM
  • 15:00
  • 3:30 in the afternoon

13. Place | 地点

  • Room 4
  • Main Office
  • Central Station
  • online

14. Changed information | 变更信息

Look for:

  • changed
  • moved
  • now
  • instead
  • new time
  • new room
  • updated

15. Old vs new information | 旧信息与新信息

Example:

The meeting was at 2 PM. It is now at 3:30 PM.

Action: discard 2 PM and keep 3:30 PM.

16. Reminder | 提醒

  • Just a reminder…
  • This is a reminder that…
  • Don’t forget…

A reminder may repeat information you already received.

17. Confirmation | 确认

  • Your booking is confirmed.
  • Please confirm that you can attend.

These are different: one informs you; the other asks you to reply.

18. Reply required | 需要回复

  • Please reply.
  • Please confirm.
  • Let me know if you can attend.

19. No reply needed | 不需要回复

  • No reply is needed.
  • No action required.
  • For your information only. — recognition

20. Attachment | 附件

  • Please see the attached file.
  • I’ve attached the form.
  • The attachment is missing.

Check that the attachment actually exists before assuming you missed it.

21. Link | 链接

  • Click the link below.
  • Use this link to join the meeting.

Only open links from sources you trust and expect.

22. File names | 文件名

  • Homework_Week3.pdf
  • Meeting_Agenda.docx

A file name can help you verify that the attachment matches the message.

23. Urgent | 紧急

  • Urgent
  • Please respond today.
  • Action required. — recognition

Do not assume every message marked urgent is trustworthy. Verify suspicious requests.

24. Routine | 日常普通信息

  • weekly update
  • class reminder
  • receipt
  • confirmation

25. Friendly short messages | 朋友短信息

Example:

Hi! I’m running about 10 minutes late. Please order first. See you soon.

Main information:

  • late by 10 minutes
  • you should order first
  • person is still coming

26. Work message | 工作信息

Hi team. The client call is now at 4 PM instead of 3 PM. Same link. Please confirm you saw this.

Changed item: time. Same item: link. Required action: confirm.

27. School message | 学校信息

Reminder: English homework is due tomorrow. Please upload Questions 1–10 before 8 PM.

Action: upload Questions 1–10. Deadline: tomorrow before 8 PM.

28. Clinic message | 诊所信息

Your appointment is confirmed for Tuesday 15 September at 10:30 AM. Please arrive 10 minutes early.

Two times matter: appointment time and arrival requirement.

29. Shop message | 商店信息

Your order has shipped. Estimated delivery: Friday.

This is status information, not necessarily a request.

30. Subject + body reading | 主题 + 正文一起看

Subject: Room Change
Body: Today’s class will be in B12 instead of B08.

The subject predicts the detail to find.

31. Greeting can show relationship | 问候语显示关系

  • Hi Anna — informal/neutral
  • Dear Dr Lee — more formal

But do not overinterpret tone from one word alone.

32. Closing | 结尾

  • Thanks,
  • Best,
  • Kind regards,
  • See you soon,

The closing usually carries less task information than the body.

33. Abbreviations | 缩写

  • ASAP — as soon as possible
  • FYI — for your information
  • ETA — estimated time of arrival

These are common recognition terms. Do not rely on abbreviations if you are unsure of the audience.

34. Informal texting shortcuts | 非正式短信简写

You may see shortened spellings or omitted punctuation in casual messages. Beginners should focus on meaning but write standard English until the context is clear.

35. Emoji | 表情符号

Emoji can add tone but are not precise instructions. Read the words first when action matters.

36. Read for action verbs | 找动作动词

Circle mentally:

  • reply
  • send
  • call
  • bring
  • upload
  • confirm

37. Read for time words | 找时间词

  • today
  • tomorrow
  • by Friday
  • before 5
  • next week

38. Read for negatives | 找否定

  • not
  • don’t
  • can’t
  • closed
  • cancelled

Missing a negative can reverse the message.

39. Read for condition | 找条件

  • if
  • unless — recognition
  • only if — recognition

Example: Reply only if you cannot attend. Do not reply if you can attend.

40. Information order | 信息优先级

For many short messages:

  1. action
  2. deadline
  3. place/link
  4. reason/background

Do not let background hide the required action.

41. Polite indirect language | 委婉请求

It would be helpful if you could send this today. still contains a request to send today.

Advanced politeness can make action less visually obvious.

42. “When you have a moment” | 有空时

This softens urgency, but context may still matter. Read the deadline elsewhere in the message.

43. “Please note” | 请注意

  • Please note that the office closes at 4 PM.

This marks information the sender considers important.

44. “Unfortunately” | 遗憾的是

  • Unfortunately, today’s class is cancelled.

The emotional word is less important than the changed status: cancelled.

45. “However” | 但是

The shop is closed in the morning. However, it will reopen at 2 PM.

Later contrast may contain the information you need.

46. “Instead” | 改成

  • Please use Room 3 instead.
  • Let’s meet Friday instead.

Replace old option with new option.

47. Suspicious requests | 可疑请求

Be cautious if a message unexpectedly asks for:

  • password
  • verification code
  • bank details
  • urgent money transfer
  • identity documents

Verify through a trusted channel before acting.

48. Privacy in screenshots | 截图隐私

Before sharing a screenshot for help, remove or hide unnecessary personal information.

49. Mandarin transfer: 请 + action | English request may use several forms

  • 请回复。 → Please reply.
  • 请确认。 → Please confirm.
  • 麻烦你再发一次。 → Could you send it again?

50. Mandarin transfer: 改到 | moved to / changed to

  • 会议改到四点。 → The meeting has moved to 4 PM.

51. Mandarin transfer: 截止 | due/by

  • 周五截止。 → It’s due Friday. / Please submit by Friday.

due describes the deadline; by often attaches to the action.

52. Reading strategy: 20-second scan | 20 秒扫描

Before detailed reading, find:

  • who
  • why
  • action
  • deadline
  • change

53. Reading strategy: one-line summary | 一句话总结

After reading, say:

“I need to ______ by ______.”

If there is no action, say:

“This message tells me ______.”

Subject: Meeting Update
Hi Mei, today’s 2 PM meeting has moved to 4 PM because the client is delayed. We will still use Room 5. Please reply to confirm you saw this. Thanks.

Do not read it aloud. Explain:

  • what happened
  • what you need to do
  • when

Teach short-message reading as task extraction. Ask “What do you need to do?” before “What does every sentence mean?”

Use realistic but fictional emails, texts and notices. Do not expose real private correspondence.

For Mandarin speakers, highlight deadline structures such as by Friday and change language such as moved to / instead / now.

Add digital safety to reading literacy. A learner who understands English but trusts every urgent link is not yet independent.
